Erasmus+ Odyssey for a Great Event 2025 – Activities and results

 

The Erasmus+ Odyssey for a Great Event 2025 was a youth project focused on event management, combining theory with hands-on practice. Between 7th and 14th of March, 2025, participants learned to plan, manage, and execute events, culminating in a real event organised by the participants themselves in Ivančice, Brno-Country District, Czech Republic. The Alba Eglesia Foundation from Romania has participated in this project as a partner, with its own National Group. 

Day 1: Getting to Know Each Other & the Target Group

The project kicked off with a series of icebreakers and team-building activities, which helped participants from Bulgaria, Romania, Poland, Ukraine and Slovenia get to know each other and start building a strong collaborative spirit.

The group then explored the region, familiarizing themselves with the local community that would eventually serve as their target audience. The day was centered on understanding the local environment, which would later influence the planning and design of their event.

Day 2: Communication & Identifying the Target Audience

On the second day, participants honed their communication skills through a challenging robot game, which was designed to improve their communication skills.

Later in the day, they worked in groups to learn different methods of identifying and understanding their target audience. This was followed by a SWOT analysis to evaluate the strengths, weaknesses, opportunities, and threats related to their event. The day also included planning and brainstorming for their upcoming event.

 

Day 3: Insights from Experts & Focus on Inclusion

Day three featured discussions with event management experts from various fields, including business, public administration, and NGOs. These experts shared practical advice and insights, helping participants gain a deeper understanding of the complexities of event planning. The group also focused on inclusion in events, engaging in the One Step Forward activity to spark important discussions on accessibility and diversity. The day concluded with further work on event preparation.

Day 4: Educational Goals & Volunteer Appreciation

The fourth day introduced Bloom’s Taxonomy through an interactive workshop with an external expert. Participants worked in groups to set clear educational goals for their events. The day continued with an outdoor sport workshop on how to properly appreciate volunteers.

Day 5: Measuring Impact & the Grand Event in Ivančice

On day five, the focus shifted to measuring the impact of an event. Participants engaged in tasks that allowed them to explore how to assess whether their event had achieved its goals. The highlight of the day was the event in Ivančice, where the participants put everything they had learned into practice. This was their opportunity to showcase their event management skills and work together to pull off a successful event called Mezikulturní večer (in English, “Intercultural evening”).

Day 6: Planning Local Events & Reflection

On the final day, participants turned their attention to planning their own local event. They pitched their ideas to potential “investors” and received feedback to refine their concepts. The day included both formal evaluations, such as questionnaires, and informal activities like Dixit cards to reflect on their experiences.

Throughout the week, the experience was further enriched by intercultural activities such as the Intercultural Night, where participants shared their cultural backgrounds through food, music, and stories, and the NGO Fair.

Each day they were working on their learning process with their reflection groups. The training was also energized with fun breaks and energizers that kept everyone active, motivated, and engaged throughout the intensive program.

The young people from Romania who participated in the project were Elvira, Andrei, Martin and Răzvan. They will be the ones to organise a local event, with the support of our organisation, and put into practice the things they learned in the Czech Republic. We will keep you posted on the open call for participants, whether the event will be held online or onsite and the final dates of the event.

Main project results

By participating in the Erasmus+ Odyssey for a Great Event 2025, the young people:

  • Learned how to communicate with people from other cultures and social backgrounds and to ensure they transmit an effective message to their listeners;
  • Learned how to identify various audiences and how their characteristics influence their behaviors;
  • Learned how to pitch their event ideas in front of their colleagues and experts;
  • Learned how to set educational goals targeting specific audiences;
  • Identified strengths, weaknesses, threats and opportunities related to organising and deploying an event;
  • Understood the role of inclusion and accessibility for people taking part in an event;
  • Understood the role of volunteers in coordinating and deploying a youth-led event;
  • Involved in local experiences by organising a local event at the location of the project and getting to know local people;
  • Identified means of measuring the impact of an event using various tools and resources;
  • Improved their communication and public speaking skills;
  • Engaged in a constructive dialogue and found out more about the cultures and traditions of the partnering countries, etc.
